1. Introduction

Welcome to LinkDem. We help people recover lost belongings through secure QR codes, and protecting the information involved is central to how we build the product.

This Privacy Policy explains what we collect, how we use it, who we share it with, and the rights you have. By using LinkDem, you agree to the practices described here.

2. About LinkDem

LinkDem is a lost-and-found recovery service. You generate a unique QR code, attach it to your belongings, and anyone who finds a lost item can scan it to alert you — without ever seeing your phone number or email.

This policy applies to our website at https://linkdem.one, our public recovery pages, and all related services.

3. Information We Collect

We collect only what we need to run the recovery service:

  • Account details: your first and last name, email address, and password (always stored hashed, never in plain text).
  • Contact number: the WhatsApp phone number used to deliver recovery alerts.
  • Emergency contacts: the name, email, phone and priority of the trusted people you choose to alert.
  • Recovery reports: item descriptions, the finder's location note, the finder's contact details, and any photo a finder uploads.
  • QR data: your unique QR code identifiers and their scan activity.
  • Account & session records: your user ID, email-verification status, and active sign-in sessions.
  • Preferences: your language choice (English or French).

4. Information Collected Automatically

When you use LinkDem, some information is recorded automatically to keep the service working and secure:

  • Device & connection: browser, operating system, device type and IP address.
  • Essential cookies: a secure, HttpOnly session cookie that keeps you signed in. We do not use advertising cookies.
  • Logs: server logs, error logs and security events used for reliability and abuse prevention.

5. How We Use Your Information

We use your information to:

  • Create and manage your account and authenticate you.
  • Generate your QR codes and display recovery pages when they are scanned.
  • Send verification emails, password resets and security alerts.
  • Notify you of scans and recovery reports by in-app notification, email and WhatsApp.
  • Detect fraud, prevent abuse and keep the service secure.
  • Provide customer support and improve the product.
  • Meet our legal obligations.

6. Legal Bases for Processing

Where data-protection laws such as the GDPR apply, we rely on the following legal bases:

  • Contract: to provide the account and recovery service you sign up for.
  • Consent: where you have given it, such as optional details you choose to share.
  • Legitimate interests: to secure the platform, prevent abuse and improve the service.
  • Legal obligation: to comply with applicable laws.
  • Vital interests: to help reunite people with lost property and protect safety.

7. QR Codes & Public Scan Data

QR recovery pages are public by design — anyone who finds your item can scan the code without an account.

When a code is scanned, we record limited information to power recovery and basic analytics:

  • The time of the scan and the total scan count.
  • Approximate location derived from the IP address, where available.
  • Basic browser and device information.
  • The IP address of the scanning device.
Finders can stay anonymous. As an owner, you cannot obtain a scanner's personal details unless they choose to share them with you.

8. Communications Between Finders & Owners

LinkDem connects a finder and an owner without exposing the owner's private contact details publicly.

When someone reports a found item, they may share their own contact information so you can reach them. You decide how and whether to respond.

  • Information a finder voluntarily provides (such as a phone number or email) is shared with you to arrange the return.
  • You are responsible for how you use any contact details shared with you.
  • We apply rate limits and monitoring to reduce spam and abuse.

9. How We Share Your Information

We do not sell your personal information. We share it only with the providers and parties needed to run LinkDem:

  • Email provider: to send verification, reset and notification emails.
  • Messaging provider: to deliver WhatsApp recovery alerts.
  • Image hosting: to store photos that finders attach to reports.
  • Cloud hosting & infrastructure: to operate and secure the service.
  • Legal authorities: when required by law or to protect rights and safety.
We never sell your data to advertisers.

10. International Data Transfers

Some of our providers operate globally, so your information may be processed in countries other than your own.

When data is transferred internationally, we rely on appropriate safeguards, such as standard contractual clauses where applicable.

11. Data Retention

We keep information only as long as it is needed:

  • Account data: for as long as your account is active.
  • Recovery reports & QR activity: while your account is active or as needed to provide the service.
  • Security & server logs: for a limited period, for reliability and abuse prevention.
  • Legal records: longer, where the law requires it.
When you delete your account, we remove your personal data except where we must keep it to meet legal obligations. Residual copies may persist in backups for a limited time before being overwritten.

12. Data Security

We protect your information with industry-standard measures:

  • Encrypted connections (HTTPS) across the platform.
  • Passwords stored using strong, one-way hashing.
  • Rotating sign-in sessions with reuse detection and new-device alerts.
  • Access controls, monitoring and rate limiting.
  • Regular backups.
No method of transmission or storage is ever completely secure, so we cannot guarantee absolute security.

13. Your Rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate information.
  • Delete your data.
  • Restrict or object to certain processing.
  • Receive your data in a portable format.
  • Withdraw consent at any time.
  • Lodge a complaint with your local data-protection authority.

14. Account Deletion

You can request deletion of your account at any time by contacting support@linkdem.one.

When your account is deleted, we remove your profile, QR identity, recovery reports and emergency contacts.

Some information may be retained where required for legal or security reasons. Backup copies are purged on a rolling schedule.

15. Children's Privacy

LinkDem is not intended for children. You must be at least 16 years old (or the age of digital consent in your country) to create an account.

We do not knowingly collect personal information from minors. If you believe a child has provided us data, contact support@linkdem.one and we will remove it.

16. Third-Party Services

LinkDem relies on trusted third parties to deliver parts of the service. Their handling of data is governed by their own privacy policies:

  • Email delivery provider.
  • WhatsApp messaging provider.
  • Image hosting and media delivery.
  • Cloud hosting and infrastructure.

17. Cookies & Tracking

We use a single essential, secure cookie to keep you signed in. It is required for the service to function and cannot be disabled while you are logged in.

We do not use advertising or cross-site tracking cookies.

18. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you.

Continuing to use LinkDem after an update means you accept the revised policy.
